POSITION SUMMARY
This role is responsible for providing executive-level, project-related administration to the Innovation leadership team, such as recording and facilitating business-related administrative tasks, while also ensuring that open actions are followed up on in a timely manner. Further aid to the Innovation leadership team includes gathering market intelligence information that is relevant to the Innovation leadership team and providing administrative support for the creation of reporting documents on behalf of any members of the leadership team (i.e., PowerPoint report creation). This role also provides executive-level administrative support to the Yazaki Innovations President & CEO and the Innovation leadership team, managing the schedules and communications of key leaders, such as prioritizing emails and phone calls, arranging complex travel, and planning meetings and events.
PRIMARY RESPONSIBILITIES & AUTHORITIES
Market Analysis:
- Gathering market intelligence information from YII’s technology platforms (i.e., Plug and Play Tech Center, Autotech Council, Pitchbook, M-Lab, Autotech Ventures, CB Insights, MIT Startup Exchange, Greentown Labs, etc.)
- Supporting communication artwork such as brochure, leaflet, and poster
- Be able to understand the emerging space for the new markets to create the market reports for the innovation leadership team
YII Support:
- Consolidating YII-related contracts with external companies (monitoring compliance, validity, expiration dates, contract status management, etc.)
- Creation of reporting documents (structured presentation documents, reporting documents, etc.) on behalf of any YII leadership member
- Legal documents (i.e., NDA, MAS, SoW, Agreements) on behalf of all YII Members and maintenance of the control list
- Administration and coordination of activities in support of hosting events led by YII
- Serve as SharePoint Administrator for Innovation
Meetings:
- Creation of new business status list (inputs from various Business Development disciplines and venture scouting sources from startup companies). Ensure that all new opportunities are summarized before the YII leadership meeting
- Scheduling and hosting YII leadership routine meetings and ensuring leadership participation
- Keeping a log of the key outcomes of the YII leadership meeting and following up on open items from previous meetings and distributing meeting notes and meeting minutes to all attendees
- Coordinate with IT, Facilities and external venues for offsite meetings
General support:
- Work with the executive team regarding processes for calendar management, document preparation, meetings, presentations, travel and other team management and communication items
- Support daily activities such as appointment & meeting scheduling, communication with customer(s) and staff, processing mail, phone messages, and correspondence
- Prepare agendas, meeting notes, monthly reports and presentations for the leadership team
- Participate in inter-department team planning projects
- Update master phone lists and management team schedules for vacation, travel and other out-of-office activities
- Provide administrative support to the Office of the President, Innovation team, as needed
- Order and control inventory of office supplies
- Perform all other duties as assigned
- Direct and Indirect Purchase Requisition / Spot Buy PO
Provide management support in the following areas for Vice Presidents of Innovation and President/CEO as requested:
- Travel
- Expenses
- Management schedules
- Customer meetings
- Staff meetings
Interface with customers in the following activities:
- Attend customer meetings: develop agendas, take minutes, provide follow-up as requested
- Administrative contacts
- Correspondence

Previous Experience:

Required: Five or more years in a professional administrative role |
Preferred: Project coordination experience & executive administration |
