POSITION SUMMARY

Process properly approved vendor invoices, affiliate invoices, or employee reimbursements in accordance with established policies and procedures.  Investigate and resolve exception items.  Assist vendors/affiliates/associates and other departments with the resolution of outstanding A/P issues.  Assist departments with the preparation of vendor invoices for entry into the automated accounts payable system. Issue checks and initiate wire payments. Investigate and resolve stale-dated checks.  Investigate and resolve pending stock receipts.  Maintain vendor master records.  Issue stop payments on missing checks.   Management of vendor/affiliate/employee reimbursement accounts through either aging or inter-company reconciliation process. 

 

DUTIES AND RESPONSIBILITIES

  • Review invoices for accuracy.  Coordinate invoice authorization with department that initiated purchase.  Match invoices with packing slips and purchase orders.  Enter codes for accounting system and create A/P vouchers in the system.
  • Field vendor calls and follow up to resolve outstanding A/P issues.  Work with other YNA departments to resolve outstanding A/P.
  • Prepare checks.  Initiate wire payments in the accounting system.  Print and match payment details with documentation. 
  • Review and approve check/electronic payment authorization documentation prior to payment.  Analyze supporting justification and make recommendations for approval/denial.
  • Maintain vendor database, including contacts, addresses, tax information, payment terms, etc.
  • Maintain relations with vendors in a non-buying situation through communication with management and personnel other than those in buying organization.
  • Schedule and attend meetings to discuss specific A/P issues.
  • Monthly/quarterly review of vendor agings or affiliate Intercompany reconciliations. 
  • Investigate and resolve price/quantity discrepancies through work with YNA buyers, warehouse personnel and vendor account representatives and A/R personnel.
  • Investigate all checks that have not been cashed within 90 days of the issue date (stale-dated checks).  Contact vendor for resolution of item.  Prepare documentation to support void of stale-dated checks.  Re-issue payment to vendors as necessary.
  • Responsible for the administration of the employee reimbursement system.
  • Detailed review of supplier/affiliate accounts containing multiple past due items. 
  • Reconciliation of assigned General Ledger Accounts.
  • Completion of required accruals at month-end. 
  • Complete training of new associates coming into the accounts payable area.
  • Assistance in the review and documentation of the policies and procedures of the area.

MINIMUM REQUIREMENTS

Degree Requirements:

Associate degree or equivalent experience  

Certification Requirements:

None

Previous Experience:

Minimum of 1 year (S2) to 3 years (S3) prior experience

Travel Requirements:

No regular travel
