Data Protection Information regarding the processing of your personal data in the context of a job applications to Yazaki Wiring Technologies GmbH

1. Overview

You are about to send a job application to Yazaki Europe Limited, Cologne branch (“we”), either because you want to apply for one or several positions advertised by us or as a speculative application. We therefore process your personal data for the purposes of processing your application and to make a decision whether to enter into an employment relationship with you. In addition, you have the possibility of choosing separately:

  • Whether you want to make your Candidate Profile visible to other Yazaki companies in your country, and/or
  • Whether you want to make your Candidate Profile visible to Yazaki companies world-wide, and apart from this
  • Whether you would like to subscribe to our job newsletter, to be informed about new job postings and/or more about career opportunities at Yazaki.

For doing so, we adhere to applicable data protection requirements. In this document, we provide you with information on how we deal with your data and rights.

3. Which categories of data do we process and what is their source?

We process the following data categories:

Your application data:

  • Person Master Data: First Name, Last Name, Academic Title (if applicable)
  • Contact Data: Postal Address, Email Address, Telephone Number
  • Education Data: Education Subject, Education Type, Degree, Grades, Educational Institution, Education Start/End Dates
  • Job History Data: Previous Position Titles, Profession/Professional Career, Previous Employers, Employment Start/End Dates, Task Areas, Task Descriptions, Fields of Expertise
  • Qualifications: Area of Qualification; if applicable: Certificates, Date of Issuing, Issuing Institution, Validity Date or Period (if applicable)
  • Skills and Abilities: Type of Skill/Ability (e.g. language), Level of Skill/Ability; if applicable: Certificates, Date of Issuing, Issuing Institution, Validity Date or Period (if applicable)
  • Performance-related Data: References, Assessments
  • Further Job Application Data: Salary Expectations, Possible Start Date, Notice Period, Mobility Preferences, Company- and Job-specific Questions
  • Health Data (only, if applicable and relevant): Severe Disability/Equal Circumstances, Degree of disability
  • User Preferences: Display Language

These data categories regularly result for us from your Candidate Profile and the application documents you send to us (e.g. CV, references/certificates, etc.). Which information and data you provide to us in detail is based entirely on your own decision.

Note: If you provide additional data or information (e.g. Date of Birth/Age, Civil Status, Photo, Private Interests, etc.), we will use these data as far as it is allowed for the processing of your application.

Data from the processing of your application:

  • Application Meta-Data: Application Status, Application Status Date
  • Appointment Data (e.g. for Job Interviews): Date, Time, Place, Participants
  • Candidate Selection Data: Information gathered from Phone/Job Interviews, Hiring Decision (application feedback)
  • Other Communication Data: Date, Time and Content of other communication with you, e.g. if you have further questions or requests; if applicable: offer letter

These data occur during the processing of your application. At the end of the application process, we will inform you about our hiring decision (application feedback). If your feedback is positive, before you are finally hired, we normally also send you an offer letter.

Optional data for processing in addition to your original application:

In addition to being visible only to recruiters that manage jobs you apply to, you can choose whether you want your Candidate Profile a) to be visible to other Yazaki companies in your country or b) to Yazaki companies world-wide: Depending on your choice, we will then make your above application data available to the responsible persons within our application management system.

Note: You can change your Candidate Profile visibility settings any time in your Candidate Profile under ‘Search Options and Privacy’.

If you also choose to subscribe to our notifications, for this purpose, we process the following:

  • Subscription Data: Subscriber E-Mail Address, Subscription Start Date
  • Job Alert Data (if chosen): Keyword, Location, Alert Period (in days)

4. What are the purposes and the legal basis for the processing of your personal data?

We process your personal data according to the EU General Data Protection Regulation (GDPR) as well as other applicable laws and regulations.

Candidate Profile visibility option “Only recruiters managing jobs I apply to”

This option is for you if you want to send us a regular application. If you choose so:

  • The processing of your personal data (excl. health data) serves the purpose of processing your application and is necessary for us to take steps at your request prior to entering into a contract, as well as for us to be able to make a hiring decision (according to Art. 6 para.1 sentence 1 let. b) GDPR in conjunction with Sec. 26 para. 1 sentence 1, para. 8 sentence 2 BDSG (German Federal Data Protection Act).
  • Special categories of your personal data (in particular data revealing racial or ethnic origin, religion or philosophical beliefs and health data) are only relevant for the processing of your application in exceptional cases. If such a case applies to you and you have provided us with such data, we will only use this data if and as far as it is necessary to exercise the rights derived from the right of social security and social protection and to meet the related obligations (according to Art. 9 para. 2 let. b) GDPR in conjunction with Sec. 26 para. 3 sentence 1 BDSG (German Federal Data Protection Act)).

After your individual application process has ended (application feedback), we might continue to process your data for the establishment, exercise or defence of legal claims, as far as necessary and permitted by law (According to Art. 6 para. 1 sentence 1 let. f) GDPR in conjunction with Sec. 26 para. 3 and Sec. 24 para. 1 no. 2 BDSG (German Federal Data Protection Act), and for sensitive data, Art. 9 para. 2 let. f GDPR in conjunction with Sec. 26 para. 3 and Sec. 24 para. 2 BDSG as well as according to the provisions of civil, employment or social security law).

Further optional processing of your personal data:

  • No matter if you apply to us for one or more specific position(s) or send us a speculative application, you can choose separately whether to make your Candidate Profile visible to other Yazaki companies in your country or even to Yazaki companies world-wide. If you choose one of these options, it is then possible that the respective recruiters can access your profile and contact you regarding job opportunities in other Yazaki companies.

  • In addition, you may choose to subscribe to our notifications, allowing us to inform you directly about new jobs (Job Alert) and/or Yazaki recruiting news.


Note: You can change your Job Alert notification settings any time in Options, under ‘Job Alert’ and your other notification settings any time in your Candidate Profile under ‘Search Options and Privacy’.

Any further optional processing for the above purposes is based on your consent (according to Art. 6 para.1 let. a) GDPR in conjunction with Sec. 26 para. 2 BDSG (German Federal Data Protection Act)) – if you decide to provide it. There is no obligation for you to provide your consent and not doing so will have no negative effect on any original application made by you.

5. Who are the recipients of your personal data?

Your data gets processed by employees of Yazaki Europe Limited, Cologne branch that are responsible for processing your application (as a rule, these are HR staff, representatives of the respective hiring department, as well as employee representatives, if applicable). Being a member of a global group of companies, we also regularly rely on recruiters of our affiliated companies in the EU/EEA to assist us in processing applications received (data processors) for better efficiency. These have been commissioned by us in accordance with applicable data protection law.

As far as we process your data electronically, also IT Service Providers (data processors) have the possibility of accessing your data within the scope of their services (hosting, support services). These have been commissioned by us in accordance with applicable data protection law.

If you have chosen to make your Candidate Profile visible to Yazaki companies other than us, your application data will also be available to the responsible recruiters within the Yazaki Group (either in your country or world-wide). Please see again point 4 of this information or reach out to our recruiting team if you have further questions.

6. Do we transfer your personal data to recipients outside the EU/EEA or to an international organization?

As part of the electronic processing of your data by our IT Service Providers (data processors), your data is transferred to a third country outside the EU/EEA for which there is no adequacy decision, namely the USA and Mexico. We transfer these data based on suitable safeguards (in this case, standard data protection clauses) that have been adopted by the Commission of the EU. Currently, however, there is no adequate level of data protection in the USA.

You can contact our Data Protection Officer for more information and/or a copy of the standard data protection clauses via the contacts mentioned under point 2 of this information.

If you choose to make your Candidate Profile visible to Yazaki companies world-wide, this will require the transfer of your personal data to other relevant affiliated Yazaki companies that might be outside the EU/EEA in a third country with no adequate level of data protection. Any such transfer is then necessary for the implementation of pre-contractual measures taken at your request, according to Art. 49 para. 1 letter b GDPR.

7. For how long do we store your personal data?

We store your respective data as long as we need it to fulfill the above purposes or until you withdraw your consent (if applicable). We only keep your data longer than this if and as long as it is allowed by or required by law.

  • If you delete your Candidate Profile without/before sending us an application or before receiving an application feedback, we consider any application and consent by you as withdrawn.
  • If you receive a negative feedback to an application or if you withdraw an application before receiving our feedback, starting from then, we normally keep your data for no longer than six months. If you receive positive feedback and we hire you, we keep your data as long as other candidates who may have been in the same application process as you (are able to) raise legal claims against us.

If you have a Candidate Profile and no ongoing application, your Candidate Profile will be deleted automatically after six months of inactivity. We will send you a reminder 30 days in advance.

8. Is there an obligation for you to provide your personal data?

There is no obligation for you to send us an application or provide us with any specific application data (especially any special categories of personal data) and we process your application based on the data you provide to us. Without the data from the processing of your application, we are unable to make a decision whether to enter into an employment with you.

For the avoidance of doubt, there is also no obligation whatsoever for you to sign up for any of the optional processing mentioned above.

You have the possibility of exercising your rights described under point 9.

9. Which data protection rights do you have as an individual?

Note: Our recruiting process does not contain any automated decision-making, including profiling, that would produce legal effects concerning you or that would similarly significantly affect you.

You have the right of access to the personal data processed about you. Moreover, under certain conditions, you can request the rectification or deletion of your data. You may also have the right to restriction of processing of your data as well as the right to receive the personal data provided by you in a structured, commonly used and machine-readable format, provided that this does not adversely affect the rights and freedoms of others.

For our processing of your data for the establishment, exercise or defence of legal claims:

Right to object

We process your data for the purposes of our legitimate interests. You can object to this data processing, on grounds relating to your particular situation. We shall then no longer process your data, unless we can demonstrate compelling legitimate grounds for the processing which override your interests, or for the establishment, exercise or defense of legal claims.

For any consent given:

Right to withdraw consent

You have the right to withdraw your consent to processing of your data at any time without detriment to you, with effect for future processing. Please note that your withdrawal does not affect the lawfulness of processing based on consent before its withdrawal.

10. Whom can you contact for complaints?

You have the possibility of making a complaint to our Data Protection Officer or you can contact our Data Protection Authority. The Data Protection Authority responsible for us is:
